How to Choose a Reed Diffuser for a Reception or Office
The fragrance of a space may not be the first thing a visitor consciously notices, but it can make a real difference to how welcome and comfortable they feel from the moment they arrive.
A carefully chosen fragrance can make a reception feel more inviting, bring a sense of calm to an executive suite or provide the finishing touch to a beautifully designed boardroom. Equally, the wrong fragrance, or simply too much of it, can have the opposite effect.
Choosing fragrance for a commercial environment involves more than selecting a scent you like. Room size, layout, airflow, interior design and ongoing maintenance all play a part.
At Elm & Grey, we already work with commercial customers supplying fragrance across multiple professional premises, helping them create welcoming environments through our Statement Reed Diffusers and larger-volume refills.
Here, we share our advice on choosing the right reed diffuser for a reception, office or commercial interior, from fragrance selection and positioning to replenishment and long-term use.
Why fragrance matters in a commercial interior
Just as lighting, furniture and carefully chosen accessories contribute to the atmosphere of a room, fragrance adds another layer to how a space feels.
In client-facing environments, a well-chosen fragrance can:
- Create a welcoming first impression.
- Complement the style and character of the interior.
- Add a finishing touch to a beautifully maintained space.
- Help create a consistent atmosphere across reception and meeting areas.
- Introduce fragrance without the need for a flame or electrical connection.
The key is subtlety. A fragrance should complement its surroundings, not overwhelm them. Ideally, visitors notice how pleasant a space feels rather than being immediately conscious of a particular scent.
Standard or XL reed diffuser?
The size of a reed diffuser matters, both in terms of appearance and fragrance performance.
A standard reed diffuser can be ideal for a smaller office, meeting room or washroom. However, in a spacious reception, boardroom or executive suite, a smaller diffuser can look a little lost amongst larger furniture and architectural features.
A Statement or XL reed diffuser offers greater visual presence, while its larger fragrance capacity can make it more practical for spaces requiring ongoing fragrance.
Our Elm & Grey Statement Reed Diffuser was designed with this balance in mind. Its substantial amber glass vessel, elegant proportions and ten 60cm black fibre reeds create a beautiful decorative feature in their own right.
The generous capacity also makes it particularly well suited to commercial environments where regular replenishment needs to be straightforward.
It's worth remembering, however, that a larger diffuser won't necessarily fragrance an entire room. The size, layout, temperature and airflow of a space all influence how fragrance travels.
In particularly large or open-plan interiors, two or more carefully positioned diffusers may provide a more balanced result than one placed centrally.
Designed with interiors in mind
At Elm & Grey, our approach to fragrance has always been closely connected to our love of interiors.
Our Statement Reed Diffuser was designed by co-founder Claire, drawing on her professional background in interior design.
The intention was to create something with enough presence to sit comfortably alongside substantial furniture, artwork and architectural features, while remaining understated enough to complement both contemporary and traditional interiors.
The amber apothecary-style vessel is intentionally unbranded, allowing it to blend naturally into its surroundings without competing with the identity of the business occupying the space.
Its tall black fibre reeds add height and structure, making the diffuser as much a decorative accessory as a fragrance product.
For reception areas, executive suites, boardrooms and hospitality interiors, we believe this combination of appearance and practicality is particularly important.
Consider the room before choosing your diffuser
Before selecting a fragrance or diffuser size, take a moment to consider how the room is used.
A reception with frequently opening external doors will behave differently from an enclosed boardroom. Similarly, a large lobby with high ceilings and air conditioning will distribute fragrance differently from a smaller executive office.
- Things to consider include:
- The approximate dimensions of the room.
- Ceiling height.
- Open doors, corridors and connecting spaces.
- Heating and air-conditioning vents.
- The number of people regularly using the space.
- How long visitors typically remain there.
- Whether food or drink is served.
- Any other strongly scented products used nearby.
These details can help determine which diffuser format is most appropriate, where it should be positioned and whether more than one diffuser might be beneficial.
For facilities managers responsible for several rooms or properties, taking a consistent approach to fragrance selection can also simplify future ordering and replenishment.
Choose a fragrance that suits the environment
Fragrance should complement the purpose and character of a space rather than compete with it.
Fresh citrus and aromatic fragrances can work beautifully in contemporary receptions and busy workplaces. Woody, earthy and gently spiced fragrances often suit boardrooms and executive lounges, while softer floral fragrances can bring a welcoming feel to hospitality and guest-facing interiors.
Some of our favourite Elm & Grey fragrances for professional environments include:
Lime, Basil & Mandarin
Bright, fresh and uplifting, with citrus notes balanced by aromatic basil. A lovely choice for contemporary receptions, shared workplaces and spaces where a clean, welcoming atmosphere is important.
Black Fig & Vetiver
Fresh, earthy and grounding, combining green fig and vetiver with warm spice and subtle fruity depth. Particularly suited to sophisticated interiors and spaces with a more understated aesthetic.
Blackcurrant & Tuberose
An elegant combination of rich dark fruit and white florals. A distinctive yet refined fragrance for client-facing environments where a little more character is desired.
Myrrh & Tonka
Warm, smooth and quietly luxurious. One of our most popular fragrances, and a beautiful choice for executive suites, lounges and interiors with richer, warmer finishes.
Orange Blossom & Juniper
Fresh and sophisticated, balancing delicate orange blossom with the crisp aromatic character of juniper. An elegant option for receptions, professional workplaces and hospitality spaces.
Where several people are involved in the decision, sampling fragrances before placing a larger order is always worthwhile.
At Elm & Grey, we can provide a focused selection of fragrance samples, allowing facilities teams, interior designers and their clients to experience the fragrances before choosing their preferred scent.
Fibre reeds or natural rattan reeds?
Not all diffuser reeds perform in the same way.
Traditional rattan reeds are made from natural material, while fibre reeds are manufactured to provide a more consistent structure through which fragrance fluid can travel.
At Elm & Grey, we use black fibre reeds, chosen for their fragrance performance and elegant appearance.
The number of reeds used also influences the strength of the fragrance.
Generally, more reeds will increase fragrance diffusion, although they will also increase the rate at which the fluid is consumed.
For smaller or more enclosed spaces, removing a few reeds can help create a more subtle fragrance. In larger spaces, using the full set may be more appropriate.
Over time, reeds can become dusty or less effective at drawing up fragrance and should be replaced when their performance declines.
We also recommend using fresh reeds when changing to a different fragrance to prevent the original scent from affecting the new one.
Position your diffuser carefully
Where you place a reed diffuser can make a significant difference to its performance and longevity.
Ideally, choose a location where the fragrance can circulate gently through the room without being exposed to excessive heat or strong draughts.
For best results:
- Place the diffuser on a stable, level surface.
- Keep it away from the edges of furniture and busy walkways.
- Avoid direct sunlight, radiators and other heat sources.
- Don't position it directly beneath air-conditioning outlets.
- Keep it away from areas where bags, coats or passing visitors could knock it.
- Protect valuable, porous or highly polished surfaces.
- Keep it out of reach of children and animals.
A little natural air movement can help distribute fragrance, but excessive airflow may cause the diffuser fluid to evaporate more quickly.
Always use a suitable protective surface beneath the vessel and follow the product safety instructions when handling fragrance fluid or cleaning spills.
Plan ahead for refills and replacement reeds
For commercial premises, choosing a beautiful fragrance is only part of the process. Keeping it performing consistently should also be straightforward.
Facilities managers and workplace teams often have multiple responsibilities, so fragrance replenishment ideally needs to be simple to plan and manage.
Before introducing reed diffusers into a commercial space, consider:
- Who will monitor the fragrance level?
- How frequently might refills be required?
- Where will replacement fragrance fluid be stored?
- When should the reeds be replaced?
- Will several rooms or properties use the same fragrance?
- What lead times should be allowed for repeat orders?
- Would larger refill quantities offer greater convenience?
The rate at which diffuser fluid is consumed varies according to room temperature, airflow, positioning and the number of reeds used.
For this reason, it's useful to monitor usage during the first few weeks before establishing a regular replenishment schedule.
At Elm & Grey, we already support commercial customers with larger-volume fragrance refills and replacement reeds, including orders for multiple locations.
By retaining and refilling our Statement Diffuser vessels, businesses can maintain a consistent appearance while simplifying their ongoing fragrance requirements.
We can also help customers estimate refill quantities and plan repeat orders based on their actual usage.

It's this combination of beautiful products and dependable personal service that we aim to bring to every commercial relationship.
Questions to ask before ordering
Before choosing fragrance for your reception, office or commercial property, it can help to ask a few simple questions:
- Is the diffuser proportionate to the size and style of the room?
- Have we sampled the fragrance in person?
- Would a fresh, floral, woody or warmer fragrance best suit the environment?
- Will one diffuser be sufficient, or would several positions work better?
- Can the fragrance strength be adjusted through the number of reeds?
- Are refills and replacement reeds readily available?
- Who will be responsible for checking and replenishing the diffusers?
- Can the supplier support repeat orders or deliveries to multiple locations?
- Considering these details from the outset can help create a fragrance experience that is attractive, practical and easy to maintain.
Frequently Asked Questions
What size reed diffuser is best for a reception area?
The most suitable size depends on the dimensions, layout and airflow of the reception. A larger Statement or XL reed diffuser offers greater visual presence than a standard home diffuser and can be particularly well suited to spacious reception areas. Very large or open-plan spaces may benefit from more than one diffuser.
Will one XL reed diffuser fragrance an entire office?
Not necessarily. Fragrance distribution depends on the size of the space, ceiling height, airflow, air conditioning and diffuser position. An XL diffuser may work well in an enclosed reception or executive suite, while larger or divided spaces may require several diffusers.
How many reeds should we use?
Our Statement Reed Diffusers are supplied with ten 60cm black fibre reeds. Using more reeds generally increases fragrance diffusion but also increases fluid consumption. For a more subtle effect, some reeds can be removed and kept for future use.
How long will a large reed diffuser last?
This varies depending on room temperature, airflow, positioning and the number of reeds used. We recommend monitoring the fragrance level during the first few weeks, after which it's easier to estimate how frequently refills may be required.
Do diffuser reeds need to be turned?
Turning reeds can temporarily increase fragrance strength, but it also increases fluid consumption and the risk of spills. For commercial environments, careful positioning and replacing reeds when necessary are often more practical than frequent turning.
Are Elm & Grey's Statement Diffusers branded?
Our Statement Diffuser vessels are intentionally unbranded. This allows them to complement the design and identity of a business without introducing prominent third-party branding into the interior.
Can we sample fragrances before ordering?
Yes. We can provide a focused selection of samples for facilities managers, workplace teams, interior designers and their clients to evaluate before choosing their preferred fragrance.
Do you supply facilities management companies and multiple commercial locations?
Yes. We already work with commercial customers and can support facilities management companies, workplace teams and other businesses sourcing fragrance for one or several properties.
We offer Statement Reed Diffusers, smaller diffuser formats, larger-volume fragrance refills and replacement reeds. We can also discuss volume pricing, delivery arrangements and ongoing replenishment requirements.
